How we handle your personal information
This notice explains what personal information KOMSA (PTY) Ltd collects when managing commercial and industrial properties, why, how long we keep it and what your rights are under the Protection of Personal Information Act 4 of 2013 (POPIA).
Who is responsible
KOMSA (PTY) Ltd. Email info@komsa.xyz. For each property we manage, the property owner (landlord) is also a responsible party for the information about that property's tenants.
What we collect and why
- Visitors to our sites: name, ID or passport number, company, phone number, vehicle registration, passengers, an ID photo, and times in and out. Purpose: site security and access control, and investigating incidents.
- Tenants' staff with ID badges: name, job title, ID number, phone number, photo and badge scans at the gate. Purpose: controlling access to the site.
- Tenants and landlords: business and contact details, invoices, payments and correspondence. Purpose: managing the lease, billing and reporting.
- Security officers and our staff: details needed to roster, clock in and manage them, including PSIRA registration for security officers.
- Website enquiries: name, email, phone, property location and your message. Purpose: responding to your enquiry.
Giving visitor details is required to enter a site we secure; without them we can't allow access. Website enquiries are voluntary.
How long we keep it
- Visitor records: 12 months; visitor ID photos: 3 months.
- Badge and clock-in scans: 24 months.
- Website enquiries: 24 months after the last contact.
- Invoices, statements and payment records: 5 years, as required by tax law.
Information may be kept longer where a law requires it, or where it is needed for an incident under investigation or a legal claim.
Who we share it with
The owner of the property concerned; the security company on site; our hosting and email providers, who process it only for us; and authorities where the law requires it (for example the police after an incident). We do not sell personal information.
How we protect it
Access is limited by role (staff, security, landlords and tenants see only what they need), every change is logged, passwords are encrypted, and the site uses an encrypted connection.
Your rights
You may ask what information we hold about you, ask us to correct or delete it, or object to how it is used. Contact info@komsa.xyz. If you are not satisfied with our answer, you may complain to the Information Regulator (South Africa): inforegulator.org.za.
